Welcome to Arsoka. These Terms and Conditions govern the rental of event equipment, props, decorations, furniture, tents, games, audio items, and related services provided by Arsoka. By placing a reservation, making a payment, or using our website and services, you agree to be bound by these Terms and Conditions.

Arsoka provides rental items and event-related services for weddings, parties, anniversaries, birthdays, corporate events, and other special occasions.
2. Acceptance of Terms
By submitting a reservation request, paying a deposit, paying in full, accepting delivery, picking up rental items, or otherwise using our services, you confirm that you have read, understood, and agreed to these Terms and Conditions, together with any additional rental, delivery, cancellation, or damage policies communicated by Arsoka.
3. Reservations and Payments
To reserve rental items and secure an event date, a 50% deposit is required at the time of booking. A reservation is not considered confirmed until the deposit has been received. The deposit is non-refundable, but it is applied toward the total rental amount. The remaining balance must be paid no later than 7 days before the Event Beginning Date. Arsoka currently accepts payment by credit card and debit card. Reservations that are not paid in accordance with the required payment schedule may be canceled or released at Arsoka’s discretion.
4. Rental Period
Unless otherwise agreed in writing, all rentals are charged on a per-day basis. The customer is responsible for returning all rented items on time and in the same condition in which they were provided, normal wear and tear excepted. Late return of rented items may interfere with other reservations and may result in additional rental, late, or replacement charges. Arsoka may approve alternative rental timing only when specifically arranged in advance.
5. Delivery, Pickup, Setup, and Takedown
Rental items may be picked up from Arsoka’s location at 168 LONE STAR AVE, VENUS, TX 76084. Pickup and return times must be coordinated in advance. Requested pickup, delivery, and return times are not guaranteed and remain subject to operational scheduling and change. Arsoka will generally contact customers during the week of the event to coordinate final delivery and pickup timing.
Standard delivery and pickup service is curbside only, unless otherwise stated in writing. Curbside service does not include setup or takedown of tables, chairs, or similar standard rental items. Customers are responsible for placing items in an accessible location for pickup and for restacking chairs on carts where applicable. Certain specialty items, including but not limited to arches, large marquee letters, dunk tanks, foam machines, dance floors, and similar large or technical rentals, may require setup and takedown by Arsoka’s team. Tent reservations include setup and takedown, but do not include delivery unless separately stated. Sunday and holiday deliveries or pickups may incur an additional $100 fee on top of the applicable delivery fee.
6. Customer Responsibilities
The customer is responsible for ensuring that the delivery or setup area is safe, accessible, and suitable for the rented items. The customer must provide accurate event details, including location, dates, access restrictions, and any relevant timing requirements. The customer is responsible for protecting all rented items from theft, misuse, vandalism, excessive dirt, water exposure, weather exposure, and accidental damage while such items are in the customer’s possession or under the customer’s control.
The customer must use all rented items in a safe and proper manner and only for their intended purpose. Rental items may not be altered, painted, drilled, nailed, taped in a damaging manner, or otherwise modified without Arsoka’s prior written consent.
7. Cancellations and Refunds
All deposits are non-refundable. If a customer cancels a reservation before the 7-day final payment deadline and has already paid more than the required deposit amount, Arsoka may issue a 50% refund of the amount paid beyond the non-refundable deposit, subject to the specific payment status of the reservation. Cancellations made within 7 days of the event are non-refundable.
Because reserved inventory is removed from availability for other customers, Arsoka does not refund reservation deposits once a booking is made. Customers are encouraged to verify event details carefully before booking.
8. Weather, Force Majeure, and Safety-Related Cancellations
Arsoka is not responsible for delays, interruptions, or inability to perform caused by severe weather or events beyond its reasonable control. Arsoka reserves the sole right to cancel, postpone, refuse, remove, or strike outdoor setups, including tents and other weather-sensitive rentals, whenever weather or site conditions create safety risks or operational impossibility. This includes, but is not limited to, storms, wind, rain, hurricanes, acts of God, fire, civil disorder, war, public emergencies, communicable disease-related disruptions, or other unforeseen events beyond Arsoka’s control. Safety decisions related to setup and continued use of rentals will be made exclusively by Arsoka.
9. Damage, Loss, Theft, and Cleaning Fees
The customer is fully responsible for all rented items from the time of pickup, delivery, or setup until the items are returned to Arsoka or collected by Arsoka. If any item is lost, stolen, broken, damaged, excessively soiled, or returned in an unusable condition, the customer agrees to pay the full cost of repair, cleaning, or replacement, as determined by Arsoka.
Damage charges may include the replacement value of the item, labor costs, cleaning fees, transportation costs, administrative costs, and any lost rental income where applicable. As reflected in Arsoka’s current rental policy, a damaged, stained, ripped, or lost tablecloth may incur a $20 replacement fee, and chair rentals returned excessively dirty may incur a $50 cleaning fee.
10. Special Conditions for Chair Rentals
Chair rentals do not include setup or takedown unless separately agreed in writing. Chairs must not be used as ladders, stepstools, or for any improper purpose. Chairs must be returned clean and must not be left in areas exposed to sprinklers, irrigation systems, standing water, or similar water sources. Customers remain responsible for taking reasonable precautions to protect chairs from water damage, even where weather conditions are unpredictable. Arsoka is not liable for injuries or damages arising from the use or misuse of chair rentals.
11. Security Deposits
Most rentals may not require a security deposit; however, Arsoka reserves the right to require a security deposit at its discretion for certain items, high-risk rentals, large orders, specialty inventory, or circumstances presenting increased risk of damage or loss. If required, the amount and terms of the security deposit will be communicated before final confirmation. Security deposits are generally refundable after all items are returned, inspected, and confirmed to be in acceptable condition. Refunds, where applicable, will be issued to the original payment method.
12. Inspection and Acceptance
Customers are expected to inspect rental items promptly upon pickup, delivery, or setup. Any missing items, visible damage, or material issues must be reported to Arsoka as soon as possible. Continued possession or use of the rental items without prompt notice may be deemed acceptance that the items were received in satisfactory condition.
13. Site Access and Conditions
The customer is responsible for ensuring that Arsoka has adequate and lawful access to the event site for delivery, setup, maintenance, takedown, and pickup. If site access is delayed, restricted, unsafe, blocked, or otherwise unsuitable, Arsoka may charge additional labor, delivery, standby, rescheduling, or cancellation fees. Arsoka is not responsible for delays caused by venue restrictions, customer scheduling changes, inaccurate site information, or lack of site readiness.
14. Limitation of Liability
To the fullest extent permitted by law, Arsoka shall not be liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits, loss of use, event interruption, emotional distress, or reputational harm arising out of or related to the rental or use of any item or service. Arsoka’s total liability for any claim relating to a rental transaction shall not exceed the amount actually paid by the customer for the specific rental giving rise to the claim, except where such limitation is prohibited by applicable law.
15. Indemnification
The customer agrees to defend, indemnify, and hold harmless Arsoka, its owners, employees, contractors, agents, and affiliates from and against any claims, damages, liabilities, losses, penalties, judgments, costs, and expenses, including reasonable attorneys’ fees, arising out of or related to the customer’s use, possession, transportation, setup, misuse, or storage of rented items, except to the extent caused by Arsoka’s proven gross negligence or willful misconduct.
16. No Guarantee of Exact Appearance
Arsoka makes reasonable efforts to provide rental items in good condition and substantially as advertised. However, due to normal wear, product variation, inventory turnover, manufacturer differences, lighting conditions, and the nature of event styling, slight variations in color, texture, finish, dimensions, or decorative appearance may occur. Such minor variations do not constitute a breach of these Terms and Conditions.
17. Changes to Orders
Any request to change rental items, quantities, dates, delivery details, or services must be submitted to Arsoka for approval. Changes are subject to item availability, scheduling feasibility, and applicable pricing adjustments. Arsoka cannot guarantee that requested changes will be possible after a reservation has been confirmed.
18. Refusal of Service
Arsoka reserves the right to refuse service, refuse delivery, cancel a booking, or recover rented items if, in Arsoka’s judgment, the event location is unsafe, the customer has provided inaccurate information, payment obligations have not been satisfied, or the rental items are likely to be damaged, misused, or placed in hazardous conditions.
19. Website Content and Intellectual Property
All content on Arsoka’s website, including text, branding, images, logos, graphics, layout, and other materials, is owned by or used with permission by Arsoka and may not be copied, reproduced, distributed, or used without prior written consent, except as permitted by law.
20. Privacy and Communications
By contacting Arsoka, submitting a form, requesting a quote, or making a reservation, you agree that Arsoka may contact you regarding your reservation, payments, scheduling, delivery, pickup, and customer service matters using the information you provide. Arsoka will use customer information for business and service-related purposes consistent with applicable law.
21. Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of Texas, without regard to conflict of laws principles. Any dispute arising out of or related to these Terms and Conditions shall be brought in the appropriate courts located in Texas, unless otherwise required by applicable law.
22. Severability
If any provision of these Terms and Conditions is held to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect.
23. Entire Agreement
These Terms and Conditions, together with any invoice, reservation confirmation, rental policy, event proposal, or written communication from Arsoka relating to the booking, constitute the entire agreement between Arsoka and the customer regarding the rental transaction, unless a separate written agreement expressly states otherwise.
